Booking, Cancellation & Refunds

Plans change. Here is the process.

Effective 27 October 2026. Existing bookings retain their agreed terms.

How to request a change

Email learning@espressoacademic.com or contact +66 95 556 0100 with your name, booking reference, service and date, and the change you need. Notice is measured from the time your request reaches an official contact channel to the start time on your booking, using elapsed hours: one day means 24 hours. Bangkok sessions use Asia/Bangkok (UTC+7). An overseas or online session uses the time zone explicitly stated in its confirmation. Processing your request later does not shorten the notice you gave. We will confirm any change in writing. Keep your sent message or acknowledgement. If you cannot find your booking reference, provide the booking email and service date so we can locate it. Do not assume a transfer is complete until confirmed.

Courses: rescheduling instead of cancellation refunds

Confirmed courses involve advance trainer commitments and international training arrangements. If you cancel or change your plans, course payments are not refundable in cash. You may arrange a transfer of your unused booking to an available equivalent class within six months of the original start date.

Contact us as early as possible, preferably before the course starts. We will confirm the replacement date in writing. Transfers depend on availability and course prerequisites. Any price difference for a different programme or level must be disclosed and agreed before the change. A transfer does not restart the six-month period. Already delivered training is not included again automatically.

This change-of-plan rule does not remove remedies if we cancel or fail to deliver the agreed service, or any mandatory rights. If we cannot offer an equivalent class within the transfer period, we will discuss an appropriate remedy for the undelivered service. Private, sponsored and overseas projects may have specific arrangements, but these must be disclosed and agreed before booking.

Roaster sessions: cancellation and credit

Notice before the unused sessionCancellation outcome
14 days or moreFull refund of the amount paid for the unused session.
Fewer than 14 daysNo cash refund for a change of plans. 50% of the amount paid for the cancelled, unused session is retained as credit toward another roaster session within six months of the original session date. The remaining 50% is the cancellation charge.

Request cancellation before the session starts. The credit is subject to availability, does not restart when a replacement is arranged, and cannot be converted to cash merely because you change your plans. We will show its value and expiry in writing. Any additional amount for the replacement session must be agreed before confirmation. If we cannot provide a suitable replacement within the credit period, we will discuss an appropriate remedy for the unused credit.

These terms include orientation and trainer assistance sold as part of the session. Arriving late does not automatically extend the end time; extra time needs availability and an agreed price. Contact us about a missed or already started session: used time cannot be credited as unused time, and any remaining eligibility must be confirmed. These are the agreed rules for the planned rental service; they do not mean rentals are already available to purchase.

Deposits, partial attendance and replacements

The cancellation calculation must state how it applies to a deposit, a fully paid booking and any separately identified external exam charge. Course deposits follow the course rescheduling rule above. Refunds or credits for other services follow their specific cancellation rules. An eligible full refund includes the amount paid for the cancelled service and the associated tax, subject only to any separately accepted and lawful exception described below.

For a partly delivered programme, any refund for a service problem is assessed against the undelivered part and the applicable remedy. If you want another person to take your place, contact us first: prerequisites, identification and external exam registration may prevent a substitution. Any permitted change and cost must be agreed in writing. Missing one day does not create an automatic right to repeat the entire course.

If we cancel, postpone or cannot deliver

If we cancel a confirmed booking, materially change its date or venue, or cannot provide the agreed equipment or trainer, you can choose an acceptable alternative or a refund for the undelivered service. A minimum-enrolment shortfall may require a course to move; we will notify you and offer those choices.

If a session is interrupted by equipment failure or another problem within our service, we will assess the part not delivered and offer replacement time or a proportionate refund. A safety issue or disruption outside either party’s control will be discussed promptly; we will not impose an automatic “no refund in all circumstances” rule.

Refund handling

Duplicate or excess payments will be returned once verified. For an approved refund, our service target is to initiate it within five business days. Business days mean Monday to Friday excluding public holidays in Thailand. We will tell you when it has been initiated and provide a refund reference where available; your bank or provider controls when it reaches your account. Contact us if it has not arrived within the provider’s advised timeframe. Refunds normally go back through the original payment method. If that is unavailable, we will agree and verify an appropriate alternative.

We do not apply a blanket card-processing deduction to an eligible refund. Any genuinely non-recoverable third-party charge must have been separately disclosed and accepted before booking and must be lawful to deduct; otherwise the stated refund applies without that deduction. Do not send complete card details to request a refund.

Exams, travel and other orders

External exam registrations may have programme-specific deadlines. We must explain those terms before collecting the relevant payment; the ordinary course policy must not silently remove an included retake. An exam-result appeal follows the applicable awarding-body process.

Travel and accommodation are not included unless expressly stated. Confirm your class arrangements before making separate travel commitments. This policy does not waive legal remedies. For roasted and green coffee orders, cancellation received before dispatch is eligible for a refund. Contact us promptly about damaged, incorrect or incomplete deliveries so we can review the issue and arrange an appropriate remedy. Delivery and digital-resource conditions must be provided before purchase.
